Privacy policy
In short: MPG Books Link uses the data of MPG Properties LLC, MPG Equipment Rental LLC, MPG Concrete LLC and Trademark Custom Homes LLC (together, “the MPG companies”) only for the MPG companies' own bookkeeping. That includes comparing the companies' records with each other to spot possible intercompany items, and those results are shown only to people the MPG companies authorise. No company's data leaves the MPG companies' control. The data isn't sold, isn't shared for marketing, and isn't used for advertising.
1. Who we are
Coleman Dewberry built and runs MPG Books Link for the MPG companies: MPG Properties LLC, MPG Equipment Rental LLC, MPG Concrete LLC and Trademark Custom Homes LLC. A company's QuickBooks Online company is connected to the app only when that company's QuickBooks administrator approves it, and each company connects separately. 2. What the app collects
From QuickBooks Online, for each company that has connected the app:
- the company's details as QuickBooks reports them: its name, QuickBooks ID, address, contact details and QuickBooks edition
- the chart of accounts
- the customer list as QuickBooks reports it: customer names and IDs, and any addresses and contact details on it
- transactions in the bank and income accounts that the app's checks cover: their dates, amounts, descriptions and customers
- reports such as the trial balance and income by customer
From the MPG companies' staff: the bank statement exports they upload, and the exports they upload from the other business systems a company uses, such as a rent-collection platform or a field-service system; QuickBooks Desktop general-ledger exports; and a deposit-log workbook. The app works from these files whether or not a company uses QuickBooks Online.
From Intuit: the connection keys QuickBooks issues when a company's administrator connects the app. Each company has its own keys.
The app never sees anyone's QuickBooks password. It doesn't use QuickBooks Payroll or QuickBooks Payments. Payroll or card-processing entries reach it only as the lines the books already show in the bank account and the trial balance.
3. How it's used
For the MPG companies' own bookkeeping, and nothing else:
- From the files staff upload, the app reconciles a company's bank account against the business system that company uses.
- For a company that has connected QuickBooks Online, the app checks that company's QuickBooks records against its reconciliation and, once that company turns it on, records deposits there.
- The app compares the MPG companies' records with each other to spot possible intercompany items. Those results are shown only to people the MPG companies authorise.
No company's data leaves the MPG companies' control. The app doesn't sell the data or use it for advertising or profiling. It doesn't send the data to any artificial-intelligence service.
4. Where it's kept
On a server that the MPG companies control, in the United States. A copy of what the app read from a company's QuickBooks is kept with that company's records of each check, so the check can be shown later exactly as it was made. Encrypted nightly backups of the app's data are kept on the server and on a second machine (a computer and OneDrive account kept by the MPG companies' IT administrator). Each can be opened only with a key kept off the server, or with a key that never leaves the server. The second machine's copies are kept for 90 days.
5. Who can see it
- People the MPG companies authorise, who must sign in to the app
- Coleman Dewberry, to support and maintain the app
- Intuit, which provides QuickBooks and handles the connection
- Cloudflare, which hosts this site and relays the one-time QuickBooks sign-in step to the server. During that step it sees the company's QuickBooks ID and the one-time sign-in code, which expires within minutes. It never sees the books data the app reads
No one else, unless the law requires it.
6. How it's protected
- Everything the app exchanges with QuickBooks is encrypted in transit (HTTPS).
- The QuickBooks connection keys are stored encrypted on the server, one set per company. Only the service that uses them can read them.
- The app requires sign-in, and its pages are served over an encrypted connection.
- The app's logs hold what's needed to fix problems: error details, status and error codes, and QuickBooks request IDs. They don't hold passwords, connection keys or data read from QuickBooks.
7. How long it's kept
A company's records of each check, including what was read from its QuickBooks, are kept as part of that company's accounting records for as long as it keeps those records. When a company disconnects the app, that company's QuickBooks connection keys stop working. We delete them within 30 days of QuickBooks refusing them, which normally happens within two days of a disconnect. If our server is offline or can't reach QuickBooks during that time, deletion is delayed by as long. Deleted data leaves the server's nightly backups after 14 more nightly backups, normally 14 days, and leaves the second machine's copies after 90 days. The server also keeps database copies made before software updates, normally five; older ones are removed as later updates finish. Each company can ask us to delete its stored QuickBooks data at any time, subject to its own record-keeping duties.
8. Cookies
The app uses cookies only to keep you signed in, to protect its forms, to remember which bank account you last worked on, and to show a one-time message after an action. This site uses no cookies, analytics or tracking.
9. Your choices
Each MPG company can disconnect the app from its QuickBooks at any time, without affecting the other companies, and can ask us for a copy of its stored data, or for its deletion, at coledewberry7@hotmail.com.
10. Changes
When this policy changes, the effective date above changes too. We tell the MPG companies about any material change before it applies.
